Microsoft Project Portfolio Management: PMO perspective.

Nowadays the amount of information and data provided by projects is so large that if we want to ensure the efficient PMO operation we need the support of IT solutions.

A representative of our Sponsor – Microsoft, Damian Joniec who is a project manager, business consultant and Project Server expert at Computer Plus Kraków S.A. led a presentation about using Microsoft PPM deployments to support the PMO in the organization.

Participants in the session met such elements of Microsoft Project and Portfolio Management as strategic portfolio analysis module and features to create projects portfolios which help realize in an optimal way  strategic objectives of the company. Flexible project portfolio management with Microsoft Project Online – solution in the cloud – allows to:

  • Align vision and effort to prioritize initiatives, select optimal project portfolios and deliver to your business strategy.
  • Effectively evaluate ideas or measure the strategic contribution of competing requests to determine alignments and streamline project initiation.
  • Easily create workflows in Visio and SharePoint Designer to standardize project progression or rejection and improve governance and control.
  • Quickly promote a SharePoint Online task list to an enterprise project in Project Online.

Damian Joniec also presented case studies of solutions and examples derived from implementations that meet the specific requirements of PMO which corresponds exactly with practices used by them.  For example PMOs can add checkpoints or gates within the workflow— by designating individual approvers or approval groups at key gates in the workflow. This helps to ensure the notification of stakeholders with proper approval authority when an initiative reaches a decision point.

Thanks to Damian for the practical, detailed presentation of solutions to support projects and the PMO. But as he said, we must remember that to achieve success, meet the needs of the organization and to take the advantage of tools, projects and portfolios should correspond well with the strategy of the organization!
